Part II"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Welcome back to Part II of our two-Part series on taking a\nclose look at the best ways to reevaluate how your fleet operates in the New\nYear. In our last entry, we had homed in on four areas you should evaluate when\nconducting a motor carrier \u201cspring cleaning.\u201d They are:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Vehicle Acquisition<\/li><li>Maintenance<\/li><li>Health and Safety<\/li><li>Compliance<\/li><\/ol>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">       <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In Part I we discussed vehicle acquisition and maintenance.\nToday, we will touch base on the final two factors, which are health and safety\nand compliance. Time to dive in!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Evaluate Health and Safety<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When it comes to fleet operations, the health and safety of\nyour people should always come first. Fleet managers should always be focused\non minimizing risk and decreasing accidents. And considering we live in the age\nof COVID, health and safety takes on an even greater importance. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Still, it does not matter how many policies you have put in\nplace or how good those policies are if you are not following up with your\ntruck drivers and ensuring the policies are followed to the letter. Truck\ndrivers can still become complacent and then end up taking more risks on the\nroad, which will inevitably lead to an increase in accidents. This is the last\nthing you want. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But why do truck drivers become complacent? It may be\nbecause truck drivers have become so used to doing the same thing every day\nthat they go on autopilot. It can also happen towards the end of a year as\npeople get burnt out or around holidays. Whatever the reason for driver complacency,\nit\u2019s your responsibility as a fleet manager to ensure rules are followed and\nhealth and safety is kept to a high standard.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can do this by updating your fleet health and safety\npolicy on an annual basis. Even if you don\u2019t need to make many changes every\ntime you reevaluate it, simply reading through the policy can serve as a\nreminder for yourself of things you might not be doing as efficiently as you\ncan or can highlight areas you may have missed. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rely on Data and Training<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you are using fleet management systems or advanced\ntelematics, you are likely sitting on a huge pile of data. Are you using that\ndata to your advantage? You need to make sure you regularly go through the data\nfrom your fleet management software and look at what unsafe driving behaviors\nare worrisome or have increased. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If your truck drivers are braking more harshly than they did\na few months before, or driving a lot faster, it may be time to do some\nuptraining with your truck drivers on how to reduce aggressive driving, which are\nboth a product of harsh braking and speeding. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And when you set up new training programs, make sure you don\u2019t always rely on the same old methods. This is especially important in helping to keep truck drivers who have been with the fleet for years engaged. It is easy for them to get sidetracked if you are not keeping them properly engaged.<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">         <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you\u2019re using the same training methods the whole time,\ntruck drivers might already know what to expect and not pay as much attention.\nAnd be sure that you not only focus on aggressive driving but also on proper\nseatbelt usage, distracted driving, fatigue, individual physical health,\nemotional health, etc. Working for the fleet is about more than the tangible\nissues. Pay attention to how your drivers are feeling. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Incentives are also an important part of coaching and\ntraining. If you already have an incentive program in place that rewards\ndrivers for engaging in safe driving behaviors, keep at it, but it is important\nto consider whether that program is still effective. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To keep things fresh, make sure to change up incentives\nbased on <a href=\"https:\/\/quicktransportsolutions.com\/blog\/how-to-get-truck-drivers-to-accept-advanced-telematics\/\">how\nyour drivers have responded<\/a> in the past and to ensure your drivers remain\ninterested in what they might receive. If you don\u2019t have an incentive program\nyet, there is no better time than now to set one up. You will find it far less\ndifficult to implement and manage if you are using fleet management software\nand a driver engagement process. This way you can share the data with your\ndrivers so they can see what their scores are in certain areas and know where\nthey need to improve.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Keep Track of Compliance<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With rules and regulations always changing, compliance in\nthe trucking industry is an ever-shifting target. Yet, no matter what changes\ncome at the state or federal level, it is your responsibility as fleet manager\nto ensure your fleet is complying. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There is a good reason why compliance is one of the biggest\nfleet management responsibilities. It is often seen as a huge administrative\nburden because of how complex it is, but with the right planning and compliance\nsoftware at your disposal it does not have to be hard. Many fleet managers have\ncombined systems and processes to make staying in compliance much easier. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Failing to keep on top of fleet compliance can lead to a\ndecrease in safety, increase in risk and costly consequences like fines and\neven accidents. When you are evaluating compliance, you need to look at\neverything from maintenance to licensing, registration, and parts and\nwarranties. Each of these factors carries with them specific compliance\nrequirements. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To ensure you stay in compliance with all of these factors,\nyou may want to invest in technology.&nbsp;\nTelematics and fleet management systems can send you reminders and\nnotifications when certain compliance documents need to be handed in or\nupdated. Is it time for a truck driver to update their MVIR? Advanced systems\ncan remind them automatically. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Fleet management systems automatically keep track of\ncompliance requirements for your fleet, depending on the region you operate in,\nwhat types of vehicles are in your fleet, and the level, type, and experience\nof the truck drivers you employ.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Technology to Your Advantage<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The fact is, if you are not using technology to manage\ncomplex parts of your fleet, you are selling yourself short. In addition, the\ninformation telematics electronically stores about drivers (such as driving\nhours) and vehicles (like license expiration dates) makes sure you can easily\naccess what you need to keep compliance up to date. The less paper you use, the\nless errors you will encounter as you tighten up your compliance game. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Also, make sure you keep your compliance education updated\nby setting up online news alerts on potential future changes in compliance\nrequirements. There must be a process in place to communicate compliance\nchanges or updates across the fleet, and especially to your frontline truck\ndrivers. That way you won\u2019t get caught unaware if new compliance regs are\nannounced.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Getting your truck drivers involved in the compliance game\nwill also help take the burden off you as a fleet manager. Make sure you\nregularly educate them on compliance requirements through training sessions. Do\nthey have the responsibility to do a daily inspection of their vehicle\n(alongside reporting)?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Make sure your truck drivers alert you of any issues that\nmay have fallen through the cracks and put in place a compliance policy that\nthey must sign off on. This way they know it is important and they understand\nthe role they play in keeping the company in business and on the straight and\nnarrow. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Education is very important when it comes to ensuring truck drivers and everyone in the company follows the same road. The truck drivers in your fleet are not the only people who need a refresher course every now and then. Why? Because you probably came into your position with a specific background. Might it be time for your own refresher? You should never be above learning more and staying fresh. <\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">         <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Perhaps you can learn about something you\u2019re less familiar\nwith but that is still linked to fleet management? For example, learn more\nabout accounting or how to manage the vast amount of data your fleet produces.\nThis will both help you know where you can improve your fleet and potentially\nadvance your career. That\u2019s a win-win for everyone!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In the end, make sure you take an annual look at every\naspect of your fleet.
